Internal Operations Dashboard

The dashboard SpaceAI360 runs on internally lead intake, project status, and a written morning digest, generated from our own systems.

Executive Summary

The dashboard SpaceAI360 runs on internally lead intake, project status, and a written morning digest, generated automatically from the same systems that run client work.

Business Challenge

As an agency running multiple client automations at once, we needed a single view of lead intake, active builds, and account health, without a person manually compiling it every morning.

Objectives

  • Pull lead and pipeline data into one live view.
  • Generate a plain-language morning summary instead of a raw data table.
  • Flag any account or project falling behind without waiting for a status meeting.
  • Keep the dashboard in our own infrastructure, no third-party BI tool.

Solution Architecture

Our automated workflows pull data from our CRM, project tracker, and email into a PostgreSQL database each night. A dashboard reads that data and renders it, while a scheduled job drafts a written summary of the previous day, delivered before the team’s first meeting.

Workflow Breakdown

  1. 01Collect. Nightly jobs pull lead, project, and account data from every connected system into one database.
  2. 02Summarize. A scheduled agent drafts a plain-language morning summary of what changed and what needs attention.
  3. 03Flag. Projects or accounts meeting a risk condition no activity in X days, a blocked step are flagged automatically.
  4. 04Display. A dashboard renders live status for the whole team, refreshed on each load.
  5. 05Distribute. The written summary lands in the team’s inbox and chat before the day starts.

Key Features

  • Single live view across CRM, project tracker, and email
  • Automated written summary, not just charts
  • Configurable risk flags per project stage
  • Runs entirely on owned infrastructure
  • Same architecture pattern we productize for client operations dashboards

Implementation Notes

This is the system referenced on our About page as something we run on ourselves before offering it to clients an internal build, not a hypothetical.

Outcome

It replaced a manual status-compiling routine with a system that surfaces what changed and what needs attention automatically, and doubles as the reference architecture we adapt into custom operations dashboards for clients.
